Shelter Rental Disclaimer: 1. Shelter Reservation can only be made by persons 21 years of age or older. 2. The shelters are cleaned once each morning. We cannot guarantee after it is cleaned that it will remain that way until your picnic time due to the usage by the general public. Because it is a public area, you may want to take extra trash bags, toilet paper and a broom. PLEASE LEAVE THE SHELTER AS YOU FOUND IT, INCLUDING REPLACING ANY TABLES THAT WERE MOVED DURING YOUR EVENT. 3. Please take a copy of this rental agreement with you the day of the picnic. Refunds will not be given for rainouts, but may be rescheduled. A refund minus $10.00 for processing fees may be given if cancellation is made at least five (5) business days before the rental. 4. As of June 12th, 2020, permit holders will be expected to take reasonable measures to ensure that social distancing and increased hygiene standards are met per CDC and state guidelines. Measures include but are not limited to: • Ensuring that any attendee who presents as ill is not welcomed to the gathering. • Ensuring that all attendees have access to hand sanitizer as provided by the permit holder. • Ensuring that attendants understand social distancing expectation per CDC and State guidelines. 5. If any person associated with this reservation contract opts to provide alcohol to others at the contracted rental date/time, the City of Bettendorf wishes to remind you of these rules: a. Serving alcohol (in other forms other than a KEG) to your guests is allowed only in shelters that are rented by the City of Bettendorf and only within 200 feet of those shelters; glass containers are NOT allowed; and the City strongly encourages you to obtain a host liquor liability insurance policy. b. Providing KEG beer requires a special event permit (not a shelter rental contract) and requires host liquor liability insurance be provided, naming the City of Bettendorf as an additional named insured (and NOT AS A CERTIFICATE HOLDER) in an amount not less than $300,000 per occurrence. c. Can beer only is permitted at Crow Creek Park, Middle Park, Veterans Memorial Park, Devils Glen Park, McManus Park, Kiwanis Park, and Forest Grove Park shelters. 6. The applicant/sponsoring party here signed agrees to hold the City of Bettendorf, Bettendorf Park and Recreation Commission, its agents and employees harmless for any liability resulting from the sponsoring party's activities and programs. Use of some facilities requires a certificate of insurance. Updated 2/22/22 – Kim Radcliff 7. No one using a shelter or other park facility shall generate music or other sound in excess of 60 dBA during park hours. (City Code 5-5A9 Persons disregarding warnings from law enforcement personnel can be charged with disorderly conduct. 8. All electrical outlets are 110 with maximum 30 amps. 9. Shelter reservations are accepted up to but not more than 365 days before the event. All reservations must be made online at www.bettendorf.org/reserve. Any questions regarding reservations may be directed to park administration during normal business hours at 563.344.4113. 10. ALL shelter reservations are reviewed by the Parks and Recreation Department. Additional fees may be added or refunded based on your event. Some events may be considered "Special" and will require additional fees, insurance, deposits, and documentation. Large events (150+ people), keg beer, hog roasts, admission fees, attractions, weddings, walks/runs, etc. are considered to be Special Events. If your event falls under this category, you will be notified. 11. The schedule for usage of the shelters will be posted in the enclosed glass case at each site. In case of a problem, we recommend you have your copy of the rental agreement with you. 12. Charcoal or wood fires are only permitted in the designated grills. Open fires are not permitted. Please extinguish your grill when you are done. 13. If you are putting up decorations or signs, you are asked to please remove them at the conclusion of your picnic. This includes the removal of ALL tape from tables and shelter posts and ceilings. Failure to comply will result in a fine to the renter. 14. Cars are only permitted to park in the designated parking areas. 15. At the conclusion of your picnic, you are asked to put all trash in the garbage containers that are provided. 16. Dogs MUST be on a leash at all times, except within the play area of the dog park at Crow Creek Park. 17. All posted park and city ordinances are enforced. 18. Problems with your shelter or reservation should be reported to the Administration Office by calling 344-4113 during normal business hours. Other special events and/or activities occasionally scheduled within park areas may cause some inconveniences to your reservation or may require your cooperation in rescheduling your reservation. 21. SHELTER RENTAL DOES NOT INCLUDE EXCLUSIVE USE OF ANY NEARBY AMENITIES SUCH AS PLAYGROUNDS, BALL FIELDS, SKATE PARKS, SPLASH PADS, DOG PARKS, ETC.
